Procurement and Administration Officer (Guinea-Bissau)

About the role

The Procurement and Administration Officer will ensure efficient, transparent, and cost‑effective procurement of goods and services for the Women’s Economic Empowerment through Cashew Processing Program (WEECAP) in Guinea‑Bissau, while providing comprehensive administrative support to daily operations.

Key responsibilities

• Plan, coordinate, and execute procurement activities in line with organizational policies and approved budgets.
• Source suppliers, request quotations, conduct bid analysis, and prepare purchase orders.
• Negotiate prices, delivery terms, and contracts to achieve value for money.
• Maintain and regularly update the supplier database.
• Ensure timely delivery of goods and services, verify quality and compliance.
• Maintain accurate procurement documentation (RFQs, contracts, invoices, delivery notes) and support audits.
• Provide general administrative support to ensure smooth office management and compliance with donor regulatory requirements.

Required profile

• Proven experience in procurement and administrative functions.
• Familiarity with donor regulations and ethical procurement standards.
• Strong organizational and record‑keeping abilities.
